Primary Policy:

1. Paper Submission & Publication :

  • All authors and co-authors must inform their respective institution authorities (Head of Department/Principal/Supervisor) before submitting papers to IIRST conferences.
  • Every submission undergoes a review process by at least two qualified reviewers (internal or external).
  • Only papers with successful registration and payment will be considered for publication.
  • The individual submitting the paper will be regarded as the corresponding author unless otherwise stated.
  • IIRST is not responsible for any disputes regarding authorship. If a complaint regarding authorship or originality is found to be valid, the concerned paper will be withdrawn immediately.
  • Suspended papers will not be re-published or circulated under any circumstances.

2. Conference Attendance :

  • All participants must complete the registration process and payment to attend any IIRST conference.
  • The organizing committee reserves the right to change the event venue, dates, or format (virtual/physical) at any time. Notification of any such changes will be sent to the registered email addresses.
  • IIRST will not be liable for any losses, including travel or accommodation costs, due to changes in the event format or schedule.
  • No refund will be provided if a participant decides not to attend after registration.
  • If the primary author cannot attend the event, a co-author may participate. No refund will be processed for non-attendance.

3. Cancellation & Refund Policy :

  • Cancellations may be processed only in cases where the official invitation letter has not been issued. Registrants who have received the official invitation letter are not eligible for a refund.
  • Refunds are only eligible if the cancellation request is submitted at least 70 days prior to the conference date, and the official cancellation form is completed and submitted no later than 60 days before the event. A non-refundable cancellation fee of 50 USD will be deducted from the refund amount.
  • Cancellations made between 60 and 30 days before the conference may qualify for a partial refund, subject to deduction for administrative and documentation costs.
  • No refund will be provided if the cancellation is made within 30 days of the conference date. However, participants will receive a credit voucher valid for one year, applicable toward any future IIRST event.
  • No refund will be processed for no-shows or personal reasons preventing attendance. Credit for future participation may be offered as per eligibility.
  • If a conference transitions from in-person to virtual, no refund will be offered due to the change in format.
  • Virtual registration fees are non-refundable. A credit will instead be issued for use at a future conference event.

4. Travel & Accommodation Responsibilities :

  • IIRST is not responsible for any travel, transportation, or accommodation arrangements. These remain the sole responsibility of the participant.
  • Any loss or inconvenience due to changes in event schedule or venue will not be compensated by IIRST.
  • Registration fees do not include travel or accommodation costs.

5. Transfer of Registration :

  • Fully paid registrations may be transferred to another individual from the same institution. The original registrant must submit a formal request via email with the necessary authorization and updated registration details.
  • Transfers must be made no later than 14 days before the event.
  • Transferred registrations are non-refundable.
  • A registration may be transferred to a different IIRST conference if requested within the valid registration period.

6. Visa Support:

  • IIRST does not contact embassies or consulates on behalf of participants.
  • Obtaining a visa remains the responsibility of the participant.
  • Visa denials or delays do not qualify for a refund under any circumstances.

7. Important Notes :

  • All changes or cancellations must be submitted in writing to: info@iirst.org
  • Participants are considered to have read and accepted these terms before completing registration.
  • All transactions are performed voluntarily by participants after agreeing to the terms and conditions.
  • Submission of the conference registration form is mandatory within 3 days of completing payment.
  • Official conference programs and schedules will be communicated via email 15 days prior to the event. Do not make travel plans before receiving the official confirmation.
  • Due to the hybrid format of the conference, registrations received after the deadline or close to the event date will be processed as virtual-only. Nonetheless, your registration will entitle you to attend one more international conference, as per your registration category.
